Who is responsible

Controller and contact details

Samira Harti of London International Visa & Immigration Services (LIVIS) is the data controller for personal information sent directly to LIVIS through this website, email or WhatsApp. For a data-protection question, complaint or rights request, email visa.applications.appeals@gmail.com or send a WhatsApp message to +44 7377 872490.

If a regulated law firm formally accepts your matter, its client-care documents and privacy notice will explain how that firm uses your information and whether it acts as a separate controller.

Information collected

What we receive and where it comes from

The website enquiry form asks for your name, email address, optional phone number, country of residence, enquiry type and message. The form does not submit information to a LIVIS server or database: it creates an email draft on your device, which is sent only if you choose to send it.

We also receive information you provide by email, telephone or WhatsApp and, if work progresses, identity, family, immigration, financial and supporting-document information needed for your enquiry. Information may also come from a person you authorise, a referrer, a regulated service provider, a public body or records you ask us to review.

Please do not include passport numbers, bank details or sensitive documents in a first message. Ask for an appropriate sharing method first. If an enquiry concerns a child, a parent or authorised guardian should contact us and provide only what is necessary.

You are not legally required to make an enquiry. We may be unable to assess or provide a requested service without the contact and case information reasonably needed for it.

Use of information

Purposes and lawful bases

Answering enquiries

To respond, assess what support may be available and take steps you request before any service agreement. The lawful basis is taking steps at your request before a contract and, where applicable, performing a contract.

Case and service administration

To communicate, arrange appointments, keep an appropriate record and deliver agreed support. The bases are contract, legal obligations and legitimate interests in running a reliable and accountable service.

Security and legal matters

To protect the website and communications, prevent misuse, establish or defend legal claims and comply with law or a regulator. The bases are legitimate interests and legal obligations.

Sensitive information

Immigration matters may reveal health, ethnicity, religion, biometric or criminal-offence information. We use it only when necessary and permitted by law, including for legal claims or, where appropriate, with explicit consent.

LIVIS does not use personal information for automated decision-making or profiling and does not add website enquirers to a marketing list.

Sharing and transfers

Who may receive information

Information is shared only when necessary with people you authorise; a regulated law firm or other professional adviser involved in your matter; courts, public authorities or regulators where required; and providers that support email, messaging, hosting, document storage or IT security. LIVIS does not sell personal information.

Email, WhatsApp and cloud or hosting providers may process information outside the UK. Their own privacy terms apply to their services. Where LIVIS is responsible for an international transfer, an applicable UK adequacy regulation or approved contractual safeguard is used where required. You may ask for more information about the relevant safeguard.

Retention and security

How long information is kept

An initial enquiry that does not become an active matter is normally kept for up to 12 months after the last meaningful contact, then deleted or anonymised unless it is needed for a complaint, legal claim or legal obligation. Complaint records may be kept for up to six years after closure. A regulated service provider’s own retention notice applies to any matter it accepts.

Technical security logs are kept only for the period reasonably required by the hosting or security provider. We use proportionate access controls, passwords and limited access, but no email, messaging or internet service can be guaranteed completely secure.

Your choices

Data-protection rights and complaints

Depending on the circumstances, you may ask for access to your information, correction, erasure, restriction, portability or object to its use. You may withdraw consent at any time where consent is the basis used. A legal exemption can limit a right. Contact LIVIS using the details above; we normally respond within one month after verifying the request.

You may complain directly to LIVIS about how your information has been handled. We will acknowledge a data-protection complaint no later than 30 days after receiving it, investigate it, keep you updated without undue delay and explain the outcome. You also have the right to complain to the Information Commissioner’s Office (ICO), including through ico.org.uk/make-a-complaint or on 0303 123 1113.

Website technology

Cookies, logs and policy changes

This version of the website does not use analytics, advertising or preference cookies. The hosting platform may create essential technical logs needed to deliver and protect the site; these are not used by LIVIS to track visitors for advertising.

This policy is reviewed when the website, providers or legal requirements change. Material changes will be shown here with a new update date.
